Group Experience Guidelines

Confirming Your Reservation

Group Experiences are confirmed once a date, time, project type, and estimated group size have been approved and scheduled.

Each group should designate one primary contact person who will communicate with Wheelhouse Studios and share details with participants.

Age Requirement

Wheelhouse Studios is intended for guests 18 and up. In some cases, minors may participate if accompanied by one or more chaperones and a non-custodial youth consent form is signed.

Minimum and Maximum Capacity

Some experiences require a minimum number of participants to operate. If attendance falls below the minimum, the minimum participation number will be applied to the final cost.

Each project also has a maximum capacity based on materials, studio space, and instructional support, and these limits cannot be exceeded. If your group grows beyond the maximum, we are happy to help explore alternate projects or scheduling options.

Attendance & Final Headcount

Staffing, materials, and workspace are prepared based on your confirmed RSVP count. Please notify us at least 24 hours in advance if your group size changes. Final billing reflects the RSVP number provided in advance, since materials and staffing are prepared ahead of time.

Example: If your RSVP is for 10 guests but only 8 attend, billing will still reflect 10 participants unless at least 24 hours notice was provided.

Accessibility & Accommodations

Wheelhouse Studios strives to provide a welcoming and accessible creative environment. If anyone in your group requires accessibility accommodations or assistance, please notify us in advance of your visit so our team can make appropriate arrangements.

Arrival & Timing

Guests should plan to arrive 10–15 minutes before the scheduled start time.

Experiences begin promptly at the scheduled time. Late arrivals may miss portions of the activity because we cannot extend the reserved studio time.

Reserved Time

Wheelhouse Studios is an open studio that also serves the public.

Your group will have a designated workspace reserved during your scheduled experience. We ask that groups wrap up and vacate the area at the scheduled end time so we can continue serving other guests.

Food & Drink

Outside food and drinks are not permitted inside the Union building. Guests are welcome to enjoy food or beverages at one of the main-level restaurants before or after their event.

For safety, some activities—such as fused glass—cannot accommodate food or drinks in the workspace.

Community Conduct

Wheelhouse Studios is a shared creative space. We ask all guests to:

  • Treat staff and other visitors respectfully
  • Follow staff instructions during activities
  • Use tools and materials responsibly

This helps us maintain a safe, welcoming, and creative environment for everyone.

Payment

Payment details will be confirmed when your reservation is finalized.

Group Experiences are typically billed based on the confirmed RSVP count. An invoice may be issued to the group’s primary contact following the event, or a credit card payment may be collected immediately before or after the event.

Cancellation & Rescheduling

Group Experiences require advance preparation of materials, staffing, and studio space.

If you need to cancel or reschedule your reservation, please contact Wheelhouse Studios at least 24 hours in advance of your scheduled experience. We understand that unexpected situations can occur and will do our best to work with groups whenever possible.
