Group Art Experience Guidelines

These guidelines help our team plan staffing, prepare materials, and coordinate studio space so that every Group Art Experience runs smoothly.
 

Confirming Your Reservation

Group Art Experiences are confirmed once the date, time, experience type, and estimated group size have been approved and scheduled.

Each group must designate one primary contact person who will coordinate with Wheelhouse Studios and share event details with participants.

Age Requirement

Wheelhouse Studios primarily serves guests 18 years and older. In some cases, minors may participate when accompanied by one or more chaperones and when all required youth participation forms have been completed. 

Minimum and Maximum Capacity

Group Art Experiences require a minimum of 4 participants. Each experience also has a maximum capacity determined by materials, space, and facilitation requirements.

Groups exceeding standard capacity may be accommodated depending on space and staffing availability.

Attendance & Final Headcount

Group Art Experiences are billed based on the confirmed RSVP count. Changes to attendance must be communicated at least 24 hours in advance. No-shows on the day of the experience will be included in the final billing. 

Accessibility & Accommodations

Wheelhouse Studios strives to provide a welcoming and accessible creative environment. If anyone in your group requires accessibility accommodations or assistance, please notify us in advance of your visit so our team can make the appropriate arrangements.

Arrival & Timing

Guests should plan to arrive 10–15 minutes before the scheduled start time.

Experiences begin promptly at the scheduled time. Late arrivals may miss portions of the activity because we cannot extend the reserved studio time.

Reserved Time

Wheelhouse Studios is an open studio space that also serves the public.

Your group will have a designated area reserved during your scheduled experience. To accommodate other studio activities and reservations, experiences conclude at the scheduled end time. 

Food & Drink

Outside food and beverages are not permitted inside the Union building. Guests may enjoy food and drinks in designated dining areas before or after their session.

Community Conduct

Wheelhouse Studios is a shared creative space. We ask all guests to:

  • Treat staff and other visitors respectfully
  • Follow staff instructions during activities
  • Use tools and materials responsibly

This helps us maintain a safe, welcoming, and creative environment for everyone.

Payment

Payment is collected during check-in and is based on the confirmed reservation count. We do not accept cash. To streamline check-in and facilitation, a single payment for the group is strongly preferred. Individual payments may be accommodated when necessary, but should be arranged in advance whenever possible.

Cancellation & Rescheduling

If you need to cancel or reschedule your reservation, please contact Wheelhouse Studios at least 24 hours in advance of your scheduled experience. We understand that unexpected situations can occur and will do our best to work with groups whenever possible.
